App Privacy Policy

Last updated 14 October 2026

The Rentiara app is the back office of a rental company on a phone. The company’s staff use it to hand over and check in rentals, inspect objects, keep their fleet and clients and answer renters. This policy explains what the app stores and sends, and why. For our website, see the Privacy Policy.

1. Who is responsible

The rental company that gives you an account decides what it records about its renters and its staff, and is the controller of that data. Rentiara processes it on the company’s behalf under our customer agreement and data processing terms. For your own account, and for any question about this policy, you can reach us at [email protected].

2. What the app stores and sends

  • Your account: your name, e-mail address and role, and a sign-in session kept in the phone’s secure storage (the iOS Keychain or Android Keystore).
  • What you record for the company: rentals, objects, clients and their contact details and documents, inspections, payments and deposits, notes and messages with renters. All of it is sent to the company’s Rentiara account.
  • Photos you take or choose of objects, damage and documents. The app only opens the camera or your photos when you ask it to, and sends just the photos you pick.
  • Work waiting for a connection: without signal, photos, check-ins and new objects are kept on the phone and sent as soon as it is online again, then removed from the phone.

3. What the app does not do

  • It does not track you across other apps or websites.
  • It shows no advertising and contains no advertising or analytics SDKs.
  • It does not read your location, contacts or anything else on your phone.
  • We do not sell personal data.

4. Why it is used

Only to run the rental company’s business in the app: to show and record its rentals, objects and clients, to produce inspection reports and receipts, and to answer renters, including through Kaya, the assistant that replies on the company’s channels with its own availability and prices.

5. Who receives it

The data goes to the rental company’s Rentiara account and the staff it gives access to. We use service providers for hosting, e-mail, messaging, payments and the language models behind Kaya and the photo studio, under contracts that limit their use of the data to our instructions. Payment card details are handled by the payment provider and never pass through the app.

6. Security

Everything the app sends travels encrypted. Each person sees only what their role in the company allows, and photos and documents are only opened with a valid session.

7. Removing your account or data

Accounts in the app are created by the rental company. The owner of the company removes a team member in Settings > Team, and can remove or anonymize a client’s data in the client’s privacy settings.

To have your own account deleted, or a whole company’s data, write to [email protected] from the e-mail address of the account. We confirm within 7 days and delete within 30 days, except what the law requires us to keep, such as invoices.

8. Your rights

Depending on where you live, you may ask for access to, a copy of, correction or deletion of your personal data, and object to or restrict its use. Renters exercise these rights with the rental company they rented from; we help the company answer. You can also complain to your data protection authority.

9. Changes

We update this policy when the app changes what it handles. The date at the top says when it last changed.
